Pre-event Web Seminar Strategic Planning
- Determine the goals and objectives of your event. For example: generate awareness with clients and prospects, educate employees, launch a product, or launch a new product.
- Determine the topic or speaker that will attract your target audience. If you already have a topic you want to present and it is not that compelling, consider coupling it or tying it in
- Determine how you want to market and promote the event. We have found email marketing to be the most effective means of promotion. It is also important to establish how you will communication with attendees and targeted attendees. In a lead generation event, hosts can expect between 35-50% attendance of registrants. Those numbers can be improved with reminder notices or reminder phone calls. However a registration website must be set up.
- Select an appropriate time for the event. If possible, do not schedule an event on Monday or Friday. We recommend holding the event on the hour, sometime between 10:00 a.m. or 1:00 p.m. CT.
- Establish your registration process. This may not be important if you do not care about lead generation.
- Select and secure the webinar presentation location. Ideally the site should be in a quiet place, with a secure network connected internet connection. The best possible phone should be used, preferable one set up for conference calls. Never use a wireless internet connection. Also be sure your computer is reliable. Do have any other applications open when you are running your webinar.
- Schedule a rehearsal time, as well all approval schedule of presentation.
- Figure out, how you want to follow up with attendees. What do you want them to walk away with, and how can you further your goal objectives after the event.
Other notes:
- If you want to increase attendance, consider some type of incentive or chance at an incentive for attending.
- Many web companies offer both web conferencing and phone conferencing. If you already have a phone contract with MCI or Sprint, consider using that service.
- When setting up the phone portion, make sure attendees are place on hold with music. The speakers should be in communication with the phone operator 15 minutes prior to the event.
- For any partner, I could create an event landing page, where attendees could come to register and enter the event. We can also send mass emails to attendees and registered missing attendees.
- Consider posting the webinar for replay. It can be used much like a white paper or piece of added value that will allow you to generate leads even after it’s over.
- The rehearsal is a vital piece of the process, since the project manager can familiarize the moderator with the technology and the speaker, knows what to expect as they prepare for the final event.
